Management Committee Meeting: October 19, 2001

Introductions of the board members were done for those present.

Keep reviewed roles and responsibilities of the Executive Committee and Management Committee including:

• Representation: Outstanding is the recruitment of 1 private sector member - Keep will approach Du Pont or Nycomed as possible members; 1 clinical member - Yaffe is awaiting reply from Lauren McCurdy.
• Quorum: Executive Committee quorum is 4 and Management Committee quorum is 8
• Meeting commitments: 4 meetings/year expect most to be by tcon with annual meeting at symposium.
• Decision making: for both executive and management committee, 75% will constitute approval.

Reviewed goals and objectives of the ORDCF - primary focus is hiring of people within the 11 projects that are in the proposal. Reviewed goals of hiring and scientific for reporting and need for scientific report in early March. Yaffe to write report by March 1. Cunningham and Santyr to supply scientific report of work in their sites to Yaffe by January 30. Keep to send list of milestones, performance deliverables etc. to executive committee by Nov 30th. To be completed and returned by January 30th to Keep.

Keep discussed the need for improved communication and responses from the PIs on most of the reporting issues. Cunningham suggested that Keep talk with Grace Parraga to best understand what is required in the scientific report to ensure we have the necessary information.

Keep discussed the need to institute more formal collaborations: Cunningham suggested workshops, inter lab visits, exchanges. Group decided that Cunningham/Yaffe groups and Plewes/Santyr were natural collaborations that should be further fostered. Software platforms for DQE and other measurements could be co-developed between groups.

Money available for some travel to other sites. Need approval from the Business Office prior to spending large sum.

Reviewed the hiring record to date. Definition of principle investigator is someone with a PHD, who is seeking independent peer-reviewed grant funding and will be working on their own research areas. OCEBRCI commitment was in Year 1 is 5 PIs, 9.5 researchers and 7 postdocs (16.5 other researchers), & 15 students. To date, collectively at 15 other researchers and 14 students.

Keep discussed the distribution of the $200,000 additional funding that was granted to the OCEBCRI to be used over the 4 years. Cunningham requested clarification on the distribution of all of the money or how often this will be visited as he expects additional funding but did not submit a written request to date.The chair had received 3 requests for increased funding:

• Giles Santyr with additional funding ($17-20,000) from Coherent. Approved unanimously.
• Raymond Reilly with additional funding form Du Pont ($20,000). Approved unanimously.
• Don Plewes with additional funding ($100,000) from TxSonics. Approved unanimously.

Keep to notify Norbert Salzberger at ORDCF for approval to add TxSonics and Coherent.

Website: No one is using the lab book. Keep to get executive committee the password for this site. Put milestone/deliverables by institution on the lab book.

Next management meeting in January. Decided to allow time for an update from one or more projects. Focus on the scientific progress and the challenges to meet milestones.
