Management Committee Meeting: June 12, 2001

BUSINESS:
  1. Committee composition and chair

    Keep reviewed Article 5 of the inter-institutional agreement and a discussion was held pertaining to the Management Committee. It was agreed that the Executive Committee would be comprised of Yaffe as Chair, Cunningham, Keep, Plewes and Santyr with a quorum being 4 members. The Management Committee would include the Executive Committee with the addition of 3 clinical and 3 private sector members. Suggestions for membership: clinical - Roberta Jong, Rene Shumak, Norman Boyd, Lauren McCurdy; private sector - Ralf Brooks, VP Research & Development, Dalsa; ATL/Schering/Dupont - check with Peter Burns?; Marconi? - no contacts (imaging side - Cunningham to follow up); Yuko Noki at GE; and Peter Farrell, Director of Marketing, CADx. Time commitment to be 4 meetings per year. If a member is unable to attend a meeting, then a representative will be appointed, although every effort will be made to include the entire membership.

    Board Meeting will be held at the Symposium - 7 AM on Friday, October 19.

    Discussion was held pertaining to the voting policy of the Management Committee with consensus being 75% (Plewes, Santyr and Yaffe) and 75% with the scientist at risk providing a recommendation (Cunningham). It was concluded that the consensus would be defined as majority rules with the scientist at risk providing a recommendation. However, the Committee will not be held responsible for following the recommendation.

  2. Start-up issues

    Inter-institutional agreement: Upon return of agreement from Ottawa, cheques will be forwarded to Cunningham at RRI and Darlene Gilson, Director of Research Services at Carleton (Zafar Kazi to contact Gilson for correct contact name). Cheques were sent out with the Inter-institutional agreement.

    Financial reporting: Keep commented that 2nd quarter filing information (Schedule E) was due and requested that Cunningham complete the form and returned to Zafar Kazi. Cunningham requested discussion of this topic later in the afternoon - Keep confirmed TCON at 3:30 PM.

    Cunningham advised that an administrative person to handle the ORDCF reporting would be hired by the end of the week.

    Santyr requested clarification on the funding status of Carleton. Keep advised that Carleton must have commitment from the Private Sector in order to receive ORDCF matching funds. If the Institution has made a contribution towards funding, then this should be reported to the ORDCF. Santyr requested that Darlene Gilson be contacted regarding the Institutional contribution. Gilson will provide name of person responsible for ensuring that all ORDCF reporting is completed and filed according to the schedule below.

    Yaffe requested that Keep email filing dates - to be done 1 month prior (March 30, July 31, September 30 and December 31) to the filing dates of April 30, August 31, October 31 and January 31.

    Website: Keep commented that the construction of the ORDCF Breast project web site was in progress and requested that Cunningham and Santyr provide addresses of linking web pages. This site will be linked to INO as well as institutional and corporate sites.

    Yaffe requested that the site include a password protected section to provide information pertaining to milestones and efforts with timelines - these would be reviewed within the year.

    Symposium: To be held on October 19 [Cardiovascular program followed by a plenary session with keynote speaker (Alan Bernstein, CIHR) and poster session/reception (Jim Wilson to present poster award] and October 20 [OCITS and Breast - Yaffe/Sherar/Ellis to prepare schedule - Names of speakers should be forwarded to Yaffe. NOTE: Mitchell Schnall has agreed to speak on October 20th] at the Crowne Plaza Don Valley. Keep has approached Bernstein and a letter of invitation has been forwarded to Wilson by David McCutcheon.

    Keep requested that email lists be completed and forwarded to Christine ASAP. Yaffe, Cunningham and Santyr to comply.

    Discussion was held pertaining to corporate sponsorship and Keep suggested that either speakers or events be sponsored by the private sector partners.

    Timing of research efforts: Discussion was held pertaining to the hiring of personnel and Yaffe reported that a committee (Burns, Rowlands, and Yaffe) has been set up to search for scientists. Cunningham advised that he was waiting for money from corporate partner before commencing a search for senior researchers.

    Santyr commented that Nycomed is interested in supporting the project, but there is some concern about work being preclinical. Keep offered support, and Santyr will contact her when assistance is required. The same offer applies to Cunningham.

    Santyr expressed a general concern pertaining to the private sector commitments affecting milestones and funding. Management Committee can redistribute funds as needed. Santyr was advised to court other companies if contributions can be made to his lab. Plewes suggested approaching laser companies - Plewes, Santyr and Keep to brainstorm at a later date.

    Scientific progress monitoring: Discussion was held pertaining to the scientific progress monitoring in relation to the private sector funding. Yaffe to discuss the matter further with Santyr later in afternoon. Yaffe to discuss same with Cunningham at 3:30 PM.

    Mechanisms for reallocation of unmatched funds: Discussion centered on the Management Committee decision making using majority rules with the scientist at risk providing a recommendation.

  3. Other items

    ORDCF R&D SUMMIT - Yaffe commented on the participation of the breast project at the Summit on May 30th - Poster was prepared and copies will be forwarded to the RRI and Carleton once the logo has been established.
